Budget Codes can be manually entered or selected from a pre-determined list by your Clients when placing an order. You can determine whether a client organisation can manually input budget codes, has to select them from a pre-determined list, or if they can do both.
This can be set-up in the Organisation page > Settings tab for each of your client organisations.
To set the organisation to manually enter Budget Codes
This will be the default for all your organisations, but you will need to determine whether the organisation is Internal or External.
- Next to Cost Code Format select either the External client or Internal client button
- Under the Selector preview, you can see a preview of what the clients will see when inputting their Budget Codes
- Next to Budget Cost Code Selector, you can use the drop-down to change formatter
- The formatter can determine the label clients are shown next to the input field, the format mask if you wish to restrict clients to only be able to input certain formats, whether you allow the clients two fields to input, etc. If you would like to make changes to the formatters please contact Panacea Support directly at [email protected] .
To set to use pre-defined Budget Codes Only
For when you'd like users to be able to select budget codes from a drop-down list only.
- Next to Cost Code Format select either the External client or Internal client button
- Next to Use Budget Codes, tick the 'Use Budget Codes drop-down list (set up under Settings) for this organisation' checkbox
- Then tick the 'Restrict organisation to only use pre-defined Budget Codes' checkbox
- You can then set-up the pre-defined Budget Codes for this client organisation. Please see here on how to do so.
To set to use pre-defined and manually input Budget Codes
For when you'd like users to be able to select budget codes from a drop-down list but also have the option to manually input a budget code.
- Next to Cost Code Format select either the External client or Internal client button
- Next to Use Budget Codes, tick the 'Use Budget Codes drop-down list (set up under Settings) for this organisation' checkbox
- Under the Selector preview, you can see a preview of what the clients will see when inputting their Budget Codes
- Next to Budget Cost Code Selector, you can use the drop-down to change formatter
