What is a Cost Category? (DirectP2P)


A Cost Category defines specific goods, services, or works that can be purchased under a contract or from an approved supplier list established within a Requirement. Buyers use a Cost Category to create requisitions or purchase orders for the associated goods, services, or works from the approved contractors or suppliers. Access to this Cost Category is limited to the organization(s), department(s), or team(s) designated as Buyers in the Requirement, and purchases can only be made from Suppliers who are marked as "Live" for the relevant Category or Lot within that Requirement.


A Cost Category is linked to a general ledger code from the subscriber's finance system to facilitate effective integration and reporting.


How to: Add a Direct-P2P Cost Category on a Requirement:


To add a new Direct-P2P cost on a Requirement, head to the Categories tab and select Cost Category (Direct P2P) from the Add a New Cost dropdown button.


First, select or add your Cost Group. Clicking Add Group will expand the modal window, allowing you to enter the name and description of the Cost Group. To save the Cost Group, click Save.

Once added, a new section will appear highlighting the Cost Categories in the Cost Group. This will be empty until you add your first Cost Category. To add a Cost Category, click Add Category.

When adding a category, you will need to select your GL code. GL codes cannot be created via a Requirementthis must be performed by your system administrator within the Direct-P2P module. Administrators can see here for more information.

Once you are happy with the Cost Groups and Cost Categories you have selected or created, click Close in the bottom right of the modal window. Your new cost will be available for use in the Direct-P2P Module.
