When creating a Requirement, a procurement user can select where that Requirement sits from a list of Thresholds, which affects how the procurement must be managed. Admins can create and manage Thresholds, create bespoke messages for users to follow/remember depending on the options picked, and set Authorisers to approve Requirements when certain Thresholds are selected.

**Choosing different thresholds will not effect how the software works, it instead allows users to guide other users on what they should be doing for that particular type of contract. It also allows you to view and sort Requirements by this.


NB: New and existing Requirements have a null Threshold, Thresholds are not required as some Subscribers do not use them.


Thresholds can be viewed and managed via Sourcing > Settings and then the Threshold tab.

  • From here, you can view all Thresholds that have been set-up on the site. The UK Governments own Thresholds are added to each site as standard.


Thresholds are grouped into Outputs, which are grouped into Regulations



Adding a new Threshold

You must select a Regulation, then an Output in order to add a Threshold. The selected Regulation and Output will be highlighted.

  • Select the relevant Regulation to reveal its Outputs  
    • If you need to add a new Regulation, click the "+Add" button on the Regulations box, enter a label for the Regulation then click '"Save"
    • This should now appear in the list of Regulations for you to select 
  • You should now be shown a list of Outputs connected to the selected Regulation. Select the relevant Output to add your Threshold to
    • If you need to add a new Output, click the "+Add" button on the Outputs box, enter a label for the Output then click "Save"
  • You should now be shown a box called Thresholds. Click the "+Add" button on this to add your new Threshold
  • You must now enter:
    • Label - you can use this to specify if the threshold is for above or below the value 
    • Note - you can use this as a tooltip to aid users in the selection of the threshold
    • Value (£) - the value of the threshold
    • Requires authorization - tick this if you want requirements to be authorised when this threshold is used 
  • Click "Save". The Threshold will now be selectable from within a Requirement

Managing Regulations, Outputs and Thresholds

Regulations, Outputs and Thresholds can be edited, disabled and deleted.

Edit:

  • You can edit the label for Regulations and Outputs, and edit the fields detailed above for Thresholds
    • For Regulations and Outputs, click the "Edit" button on the box, edit the labels shown and click "Save"
    • For Thresholds, click "Edit" beneath the particular Threshold you want to edit, make your changes and click "Save"

Disable:

  • Disabling a Regulation and Output will hide them from the lists for you to select. All Thresholds within a disabled Regulation/Output won't be able to be selected for Requirements.
    • Click the "Edit" button on the box and use the 'Disable' toggle next to the label.
  • Disabling a Threshold will mean you can't select it on Requirements.
    • Click "Disable" beneath the particular Threshold you want to disable.
  • Once disabled, the "Disable" button will change to "Enable".
  • You can re-enable Regulations, Outputs and Thresholds at any point by following the same steps above, and clicking the "Enable" button

Delete:

  • Deleting a Regulation or Output will also delete any Thresholds grouped within. You cannot delete these if any of the Thresholds are in use.
    • Click the "Edit" button on the box and click the "Delete"' button next to the label you wish to delete
    • For Thresholds, click "Delete" beneath the particular Threshold you want to delete. 

Selecting a Threshold on a Requirement

When creating a requirement a user has the option to select one Threshold for a requirement. These will be predefined by the site admins when creating or managing Thresholds as described above. Once selected you will be able to see the Threshold name, note and its value. 


NB: Users can filter Requirements by: Regulation, Output, Threshold on the Requirements dashboard, and add these as columns.
