Supplier Tags allows Procurement Managers and Contract Managers to filter/categorise their Suppliers within a Requirement when you are:
- Inviting suppliers to an RFX
- Inheriting suppliers in a Call-Off
Administrator Set-Up of Supplier Tags
The Admin Page for Supplier Tags allows site administrators to manage and add Supplier Tags and Supplier Tag Headings.
- This can be accessed via Settings > Supplier Tags
Supplier Tag Headings
Supplier tag Headings act like a folder (or category) that groups Supplier Tags together based on preference.
e.g. Geographical Region; Supplier Type
Create a new Supplier Tag Heading:
Provide a Heading Name and Description (optional) and click 'Add' to create a new Heading
Heading Name: Limit of 100 characters
Heading Description: Limit of 500 characters & optional
Edit an existing Supplier Tag Heading:
Against the Heading, click the notepad/pen icon to edit
N.B - A Heading with the name of 'Uncategorized' will be automatically created and cannot be edited or deleted. This is to house miscellaneous / un-grouped Tags
Supplier Tags
Supplier Tags act as a way to ‘tag’ your suppliers (this can be done by Key Users and/or suppliers). These sit within user-defined Headings (if miscellaneous/ un-grouped this will be under the ‘Uncategorized’ heading)
E.g. Within a ‘Geographical Region’ Heading, Tags could be different regions/NUTS Codes
Create a new Supplier Tag:
Pick the relevant Heading and click Add New Tag, provide a Tag Name and click Add
Supplier Tag Name: Limit of 100 characters
Edit an existing Supplier Tag:
Against the Heading, click the notepad/pen icon to Edit
N.B - Supplier Tags can be edited, deleted and moved between Headings. Headings cannot have duplicate supplier Tags belonging to them.
Using Supplier Tags in a Requirement
Within a Requirement, head to the 'Supplier Tags' tab. This tab contains two tables:
- Set Supplier Tags for this Requirement
- Tags Applied to Qualified/Live Supplier(s)
Set Supplier Tags for this Requirement
This tab allows you to set and manage which supplier Tags can be used for this Requirement.
Set which Tags you wish to be associated with this Requirement
This means that these Tags can then be tagged against Suppliers within this Requirement
Select the tag(s) and click Add Selected Tags
Determine for each Tag whether you wish to allow Suppliers the ability to select this Tag for themselves
If enabled then Suppliers will be able to select the Tag for themselves in their view of a Requirement
If disabled, then Suppliers will not be able to view the Tag (and thus cannot select it), so only Key Users can tag suppliers in this requirement with this Tag
Update supplier instructions of the Tag
To give guidance to suppliers on why they should enable/disable this. Optional.
Will only be visible to suppliers when a tag has “Managed by Supplier” enabled
Delete added supplier tags
Tags Applied to Qualified/Live Supplier(s)
This tab allows you to set the Tags on Qualified or Live suppliers.
- Against each supplier, simply pick the relevant tag(s) you wish to associate with the supplier
- You’ll also be able to see the tags the suppliers have picked (if they've been given access)
Supplier Perspective
If a Requirement has at least one Supplier tag that is enabled to be managed by suppliers, Suppliers will be able to see a 'Supplier Tags' tab in their Requirement view.
Suppliers can view instructions for each tag, and can select/deselect a tag. They can also see tags that have been selected for them by a Key User.
When Suppliers select/ deselect tags, this will be visible to the Key User in the view of Supplier tags. This will be stored in the ‘Audit’ tab of the Requirement.
Use of Supplier Tags in RFX Invitation List
When inviting suppliers to a RFX, there will be a dropdown list that contains all the supplier tags selected for the suppliers so that you can filter by Supplier tags.
Selecting supplier tags will filter the invite supplier dropdown list to only show the suppliers with the selected tags.
If more than one Tag is selected,
- 'All Tags' filters suppliers to include only those with ALL the selected tags enabled.
- e.g. if you select ‘England’ and ‘Scotland’ - it will only show suppliers that have both of these tags selected!
- 'Any Tags' filters suppliers to include those with any of the selected tags enabled.
This applies for Tender, Research and Quote RFX’s.
Use of Supplier Tags in Create Call-off function
When creating a call off, you can filter the suppliers to inherit by selecting supplier tags from a dropdown list. You will only get the option to pick when you have selected to Inherit LIVE and/or qualified suppliers and the respective lots.
If more than one Tag is selected,
- 'All Tags' filters suppliers to include only those with ALL the selected tags enabled.
- e.g. if you select ‘England’ and ‘Scotland’ - it will only show suppliers that have both of these tags selected!
- 'Any Tags' filters suppliers to include those with any of the selected tags enabled.
