Call-off Requirement

Modified on Fri, 12 Sep at 1:58 PM

Call-off requirements can be created from a framework requirement - these can act like 'child' contracts to a 'parent' contract.

Creating a call-off from a requirement allows you to:

  • Inherit details from the original framework to be carried across
  • Inherit qualified & live suppliers for certain lots/categories - this is useful for further competition

TABLE OF CONTENTS

Create a call-off requirement from a parent/framework*:

A Requirement with no call-offs is labelled as 'Discrete'. Once you create a call-off, it will then be labelled as a 'Framework'.

*Not applicable to Stakeholders who can add their own Requirements. This is only for Key Users (Administrators, Procurement Managers, Contract Managers etc.)

On the parent/ framework requirement:

  1. Click the settings cog next to the Edit button.
  2. Click Create a Call-off
    • Details from the original requirement (which will become a Framework) will be carried across onto the new Call-off
  3. Select if you wish to inherit any suppliers (and the lots):
    1. You can choose to inherit suppliers by picking any of the relevant options
      • Inherit Live Suppliers and their assigned Lots from this Requirement
      • Inherit Qualified, Not Imported Suppliers and their assigned Lots from this Requirement
      • Inherit Qualified, Imported Suppliers and their assigned Lots from this Requirement (Unregistered Suppliers)
      • This is multi-choice, so you can select more than one.
    2. Optional: Select the supplier tags to filter which suppliers are bought over
      1. Search the supplier tags you wish to inherit
      2. Select either All Tags or Any Tags
        1. All Tags means if you've selected multiple tags, only those suppliers with all the tags selected will be inherited
        2. Any Tags mean if you've selected multiple tags, suppliers with any of the tags selected will be inherited
    3. IMPORTANT: Select which category(s)you wish to inherit
      • This inherits the category(s), and if selected it will inherit any Qualified/Live suppliers for that category
NB: Call-offs can be created even if the parent framework has no lots or suppliers.

Call-off Requirements:

Users are able to copy documents in the  Document Library from the Framework requirement. Within the Document Library click Copy from Framework then select the relevant document.

This will also introduce the Call-off tab in the dashboard, where you can view all Call-offs of that Requirement.

Users are able to refresh suppliers in the Suppliers tab of Call-Off requirements.

Manually link an existing Requirement as a Call-off

You can turn an existing Requirement into a Call-off of another Requirement (discrete or a framework), if the Call-off Requirement has already been created independently.

Within the intended parent Requirement that the call-off needs to sit under:

  • Click the settings cog next to the Edit button.
  • Then select Add an existing Requirement as a Call-off
  • Pick the relevant Requirement that should be marked as a Call-off
  • Click +Add

N.B. If a Requirement has already been created, and not created directly as a call-off you will NOT be able to:
1. Inherit lots/categories from the parent/ framework
2. Inherit suppliers from the parent / framework
3. Copy documents from the parent/ framework
