RFX Email Templates

Email templates are used to streamline communications sent to suppliers who are bidding for different stages of the Questionnaire process. You can manage and create default Email Templates specific to the Questionnaire by:

  • Clicking on Sourcing > RFX Email Templates

  • From the drop-down list, select the stage of the questionnaire that's relevant for when the e-mail is sent:

    • Invite Supplier

      • Sent when inviting a supplier to an RFX.

    • Withdraw Questionnaire

      • Sent when unpublishing an existing RFX.

    • Un-invite supplier.

      • Sent when un-inviting a supplier from an RFX.

    • Publish questionnaire

      • Sent when publishing an RFX.

    • Qualified supplier confirmation

      • Sent when confirming supplier on the moderate (qualify) screen upon approving.

    • Supplier participation denied.

      • Sent when RFX tender is set as "Screen" and Key user rejects their request to participate in an RFX.

    • Supplier disqualified.

      • Sent when disqualifying a supplier on the moderate (qualify) screen upon rejecting.

    • Clarification private answer

      • Sent when answering a private clarification Q&A.

    • Clarification public answer

      • Sent when answering a public clarification Q&A.

    • Confirming successful bid

      • Controlled by a configuration which, if enabled, auto-triggers when a supplier successfully submits a bid to an eRFX tender.

    • eAuction Invite

      • Sent when inviting a supplier to an eAuction and can be tailored for each unique case before sending.

    • Legalesign Signing Reminder

      • Sent when reminding a user about needing a signature on an eSigned document. Can be tailored for each reminder request when you click the Edit button.

  • Enter/edit the text, then click Save
