Assets that have been uploaded and approved are available through the Asset library.


N.B. Only Library full access will have the ability to download and share assets. 


To access the Asset Library click on Digital Assets from the left hand side menu and then select Asset Library.


The Asset Library will display all uploaded and approved assets. 

  • If no thumbnail is available for the asset, the Asset will be shown as a grey panel with the file extension lettering. In these assets, the title of the asset will be visible in the top left-hand corner in order to identify the asset. 
  • For video assets, a thumbnail of the video will be shown. 

From here you are able to:

  • Search for assets using keywords and tags by clicking the Keyword search (press Enter) search bar

N.B. The number of assets found as a result of your search will be displayed followed by the assets.

  • You can also filter by Tags and Boards and can chose to filter by multiple tags by clicking Filter By Tag you can then select the different tags you would like to filter for from the different categories. See section on Boards below.
  • You can chose how many assets you would like to be displayed at once by selecting an option from the results per page drop down


When you have located the asset you have the following options (On the bar at the top of the thumbnail):


  • Download this assetClick on the download icon, confirm your intended use and click Download. 
  • Share asset via Email - Enter the email address, add an optional message confirm the intended use and click Send. This will then send the asset to the intended user(s) email address.
  • View asset details -  Click the info symbol to view a full details and history of that asset. You can then view:
    • Any metadata that is associated with that asset and when the asset is available from to when it expires.
    • Full audit history including dates and times of any actions that have occurred with the asset.
    • Who has access to the asset.
    • Any release forms that have been uploaded for the asset.
  • Add asset to a board -  The board feature allows you to create a personal gallery of assets and save them in one place. This is useful if you are working on a project which has multiple assets associated to it.  

N.B. To add an asset to a board, click the + icon and select an existing board or create and add to a new board. To add multiple assets to a board, use the tick boxes to select the required assets. Next, scroll to the top and click Add Selected Assets To a Board: Select the Board you want to add the assets to (or create a new board).

  • These assets can then be found in Digital Assets > Boards 
  • When an Board is shared with a library user, they will receive a notification/email to inform them. 
  • Generate Public access link Click on the padlock and then click on the Public button. You will then be asked to give a reason for making this asset public. Then a link to the asset will then be generated.

N.B. Once this asset has been made public the icon will then change, to make this asset private click on the icon and then click the Public button this will then make the asset private again.



Further features of the Asset Library page: 

  • Hovering over the magnifying glass icon will enlarge the view of the asset 2x. Clicking on it will provide a full page view of the asset.
  • Thumbnails for MP4 files will display the opening shot of the video, making it easier to identify the asset and its contents.  
  • Use your assets in templates when placing orders in your catalogue.
  • Digital assets can also be used in job bags as artwork and images, as well as in branded templates.
