The 'Categories' tab on a Requirement allows you to create and manage the respective Categories/Lots (and all associated costs) for each Requirement. 


N.B. Setting this up is crucial if using the Software for P2P  and/or wish to make suppliers live. 


Only Administrators/Procurement Managers/ Contract Managers can create/manage this tab. 


1. Add New Cost Categories

  • If using the software for DirectP2P, please see here for adding new Cost Categories
  • A Cost Category defines specific goods, services, or works that can be purchased under a contract or from an approved supplier list established within a Requirement. Buyers use a Cost Category to create requisitions or purchase orders for the associated goods, services, or works from the approved contractors or suppliers. Access to this Cost Category is limited to the organization(s), department(s), or team(s) designated as Buyers in the Requirement, and purchases can only be made from Suppliers who are marked as "Live" for the relevant Category or Lot within that Requirement.


2. Create your Requirement Category(s) (also referred to as Lots)

  • Here you can specify if the contract is divided into lots by ticking the box. If you suspect there will ever need to be more than 1 lot/category created, please create as many lots/Requirement 
  • You need to also link the requirements to DirectP2P Cost Categories/ ProjectP2P Cost Descriptions. This can then also be pulled into your finance data reporting, if set-up.
    • Click Create New and search for relevant Direct P2P and/or Project P2P costs set-up. Remember to click Save Changes.
    • If using Requirement for P2P and/or Client Ordering, you can set-up ranking in a Category to tell the software in which order suppliers should be considered for automated orders/costs


Once Requirement Categories have been created, they will then be ready to:

  • Make your Suppliers Live against (when appropriate in your workflow)
  • Once suppliers are Live, you can then set a Spend Limit against your supplier per Requirement Category


It is important to add your Categories so that you can make your Suppliers Live and also to manage your P2P workflow (if the site is set-up for P2P).
