Suppliers: eAuctions

For sites using our eAuction functionality.


EAuctions allow you to bid against other suppliers to provide a service or goods. These are live auctions.


Workflow:


1. Receive an e-mail inviting you to an eAuction

  • You'll first receive an e-mail inviting you to an eAuction with the details

2. Log on and Register Interest in the eAuction

  • You then need to confirm your interest in the eAuction on the site

4. Submit a Qualification Bid

  • You then need to submit a Qualification Bid for the Good(s) and/or Service(s) you wish to compete for in the eAuction

4. Receive a notification when the eAuction is live

  • You'll receive a reminder 30 minutes before the scheduled time, and a notification when the eAuction is live

5. Submit your bids when the eAuction is live

  • You can then submit your bids during the live eAuction and compete against other suppliers

6. Find out if you're successful once the eAuction has closed


Step 1. Register Interest in the eAuction

When you receive an e-mail inviting you to participate in an eAuction, you must then confirm your interest. To do so:

  • Click on the link in the e-mail and log into the site - this should take you to the relevant screen where you can register interest. If not:
    • Once logged in, click on the in site notification titled eAuction Invitation(this will appear in the upper-right hand corner of your screen)
      • Click on the Bell icon if you can't see this notification, then 'View More'. The notification will either be in your Read or Unread tab
    • You should now see a list of eAuctions (and other tender activities if relevant)
  • Click on the "View" button under eAuction details to see the details of the eAuction, including when it's scheduled
  • Click on the 'Participate' button next to the eAuction to register your interest


You have now registered your interest to participate in the eAuction, and the eAuction can now be found in 'My eAuctions'. You must now submit a Qualification Bid in order to qualify for participating in the eAuction.



Step 2. Submit a Qualification Bid

You need to qualify for participating in the eAuction, so you must submit a qualification bid first. If you don't submit a qualification bid, you won't be able to partake in the eAuction.


Your qualification bid must equal or be less than the 'Qualification Price' set by the host of the eAuction in order for you to qualify for participation. You can't see this, however when submitting your qualification bid you will be prompted if your bid is too high.


N.B: Qualification Bids can only be submitted when an eAuction is in the Scheduled or Paused state. They cannot be submitted once the auction is Live or Completed


  • Click on 'Participate' on the left-hand menu, then click on 'My eAuctions'

  • Here you can see all live and upcoming Auctions you've registered interest for in the first box titled "Live and upcoming Auctions"
  • Click on the title of the relevant eAuction to submit your Qualifying Bid
  • Go to the 'Qualification Bids' tab 

Here you should be able to see all separate goods/services the eAuction is for - there may just be one or multiple. This will specify the Unit of Measure (UOM), and the Quantity of units being asked for.

  • Next to the service/item(s), click the 'Place Bid' button
  • Input your price for your Qualifying Bid, then click 'Submit
    • If your bid is higher than the 'Qualification Price' set by the host, you won't be able to submit and will be prompted to lower your bid if you wish to participate
  • If you wish to delete your bid or place a new one, you can do this by going back to this screen at any point up until the eAuction begins


You will be notified 



3. Participate in the Live eAuction

When the host starts the eAuction and the auction is Live, you can then start bidding.


An eAuction that's been started will have the status Live



Placing Bids

Your current bid and rank will be displayed at the bottom of the page. Your rank will change according to where your bid places in comparison to other participating suppliers bids

  • Click on the 'Place Bid' button to replace your current bid with a new one
  • You can only submit a bid within the Bid Range
    • The range will be displayed so you don't need to work this out each time
  • Input your next bid then click 'Submit'
  • Your "Total Value" amount should now be updated with your latest bid amount, and your rank may change accordingly
  • Each bid you place and the rank will be displayed in the Live Auction log screen

N.B: If your price and total value doesn't update and stays displaying your previous bid, please click the 'Reconnect to Auction' button to refresh.


Connection Status

You can see the status of your web connection. If this is displayed as 'Not Connected' you can click the 'Reconnect' button to refresh.


You can also click the 'Reconnect to Auction' button at any point if you want to refresh your screen or double check if you're connected. If you experience any issues such as your bids not updating, rank not changing, the live auction feed not showing any updates or you just wish to make sure you're connected properly.


Live Auction feed

This is an Activity Feed that shows all actions taken by the host and you during the live auction and the times these occur. This includes:

  • When the Auction is started
  • If the Host pauses and unpauses the auction
  • Any messages the host sends to you
  • Any messages you send to the host
  • Any bid you place and your subsequent rank 
  • If the Host extends the eAuction

Taking Part in the eAuction: 


Suppliers will be able to bid for all items they qualified for when submitting a Qualification bid.


Submitting bids

All items the participant is qualified for will be listed at the bottom of the eAuction page. This will show the participants current bid amount and their rank.

  • Click “Place Bid” next to the item and enter the bid amount per UoM.
  • The participant will only be able to submit a bid within the Bid Range displayed.
  • The bid range is set between the previous bid to a percentage specified by prior by the auction host.
    • The range will be displayed so you don't need to work this out each time
  • The Rank will change according to where their bid now places in comparison to other participants bids.
  • Each bid will also be displayed in the Live Auction screen.


NB: Participants can also send the host a message at any time. Messages sent to and received from the host will be displayed in the Live Auction screen. Participants can also click “Reply” next to messages sent from the host.
