Suppliers: pre eAuction

EAuctions allow you to bid against other suppliers to provide a service or goods. These are live auctions.


If you're invited to participate in an eAuction, you will receive an e-mail with the details. If you'd like to participate, you must first confirm your interest in participating (Step 1) and then submit a qualification bid (Step 2).

Step 1. Register Interest in the eAuction

When you receive an e-mail inviting you to participate in an eAuction, you must then confirm your interest. To do so:

  • Click on the link in the e-mail and log into the site - this should take you to the relevant screen where you can register interest. If not:
    • Once logged in, click on the in-site notification titled eAuction Invitation (this will appear in the upper-right hand corner of your screen)
      • Click on the Bell icon if you can't see this notification, then View More. The notification will either be in your Read or Unread tab
    • You should now see a list of eAuctions (and other tender activities if relevant)
    • You can view any documents and eAuction details
  • Click on the View button under eAuction details to see the details of the eAuction, including when it's scheduled
  • Click on the Participate button next to the eAuction to register your interest


You have now registered your interest to participate in the eAuction, and the eAuction can now be found in Participate > My eAuctions


Step 2. Submit a Qualification Bid

An eAuction may be ran for several Goods and/or Services. You need to select which ones you wish to bid for, and submit your Qualification Bid for these before the eAuction is scheduled to start. This price will be used as your entrance bid once the eAuction starts.


You need to qualify for participating in the eAuction, so you must submit a qualification bid first. If you don't submit a qualification bid, you won't be able to partake in the eAuction.


Your qualification bid must equal or be less than the Qualification Price set by the host of the eAuction in order for you to qualify for participation. You can't see this, however when submitting your qualification bid you will be prompted if your bid is too high.


N.B: Qualification Bids can only be submitted when an eAuction is in the Scheduled or Paused state. They cannot be submitted once the auction is Live or Completed


  1. Click on Participate on the left-hand menu, then click on My eAuction
    • Here you can see all upcoming Auctions you've registered interest for in the first box titled Upcoming Auctions
  2. Click on the title of the relevant eAuction to submit your Qualifying Bid
  3. Go to the Qualification Bids tab 
    • Here you should be able to see all separate goods/services the eAuction is for - there may just be one or multiple. This will specify the Unit of Measure (UOM), and the Quantity of units being asked for.
  4. Next to the service/item(s) you wish to bid for, click the Place Bid button
    • The host may have set the eAuction to automatically submit a bid for you at the Qualification Price - you can submit a new bid if you wish or delete bids for any Goods/Services you don't want to bid for
  5. Input your price for your Qualifying Bid, then click Submit 
    • If your bid is higher than the Qualification Price set by the host, you won't be able to submit and will be prompted to lower your bid if you wish to participate
  6. If you wish to delete your bid or place a new one, you can do this by going back to this screen at any point up until the eAuction begins

Step 3. (optional) Contact the organiser & upload documents

You can contact the organiser of the eAuction if you have any questions before the eAuction goes live.

  1. Click on Nudges on the right-hand side
  2. Click Send nudge and input your message
    • You can add attachements to your message
  3. The recipient will automatically be selected as the eAuction organiser. Click Send to send your message

You can view all Nudges you've sent related to the eAuction, and responses you've received in the Inbox. You'll be notified if you receive any responses or messages from the organiser


You can also upload any documents for the host to view

  1. Click on the Documents tab 
  2. Here can you can view any documents uploaded by the host and upload your own documents
    • Documents uploaded in here will only be accessible to the organiser of the eAuction, and not other participants
  3. Click on Add a Document and select the document you wish to upload

Step 4. Participate in the Live eAuction

When the host starts the eAuction, you can then start bidding. An eAuction that's been started will have the status Live. Please see here for guidance on participating in an eAuction


N.B: You will be notified 30 minutes before the eAuction is scheduled to start. Please do note that the eAuction host may start the eAuction early or later. You will also be notified when the eAuction host has started the eAuction.
