Reach Groups are used to group together Contacts/Organisations e.g. stakeholders, external clients, suppliers etc. This is particularly useful for if you need to send out Releases (communications) to all contacts of a similar role.
You can view and manage all your Groups by navigating to Contacts > Groups.
Add a new Group:
New groups can be added by either:
- Clicking on the blue +Group button at the top of your screen
or
- Clicking on the green +Group button in the Groups screen
Input the Groups Name and a Group Description, then click the Add button when done.
Adding users/organisations to a Group:
Click on a Group to open it up and view it.
- Adding Contacts:
- Filter and search for the contacts to add either by Organisation, Contact Type or use the Keyword search bar, then click Search Contacts
- Tick the required contacts from the list that appears based off your search to add them to the Group
- Scroll up and click the Update button to save your changes
- Adding Organisations:
- Scroll down your screen to add Organisations to your group
- You can use the drop-down list to select an organisation to add to the group
- Scroll up and click the Update button to save your changes
- Adding Sub-Groups:
- You can also add other existing groups to add their contacts/organisations to your group
- Scroll down your screen to add Sub-Groups to your group
- Use the drop-down list to select a group to add to this group
- Scroll up and click the Update button to save your changes
- Removing Contacts/Organisations/Sub-Groups:
- Click on the X button next to a contact/organisation/sub-group to remove them from the group
- Click the Update button at the top of the screen to save your changes
N.B: You MUST click the Update button at the top of your screen (under the Group Name and Group Description) in order to save any changes you make to adding and removing contacts/orgs/sub-groups
Filtering:
- Use the search function to find a particular group
- Click on a column to sort the list of groups alphabetically by Group Name, Description, Modified Date, number of Contacts, Organisations or Sub Groups
- Filter the quantity of groups you would like displayed on your screen at a time, and also to see how many groups there are overall (entries)
- Use the Excel or PDF button to pull off a report containing all groups displayed on your current screen and the filtering & columns you've applied
Delete & Archive groups:
- Click on the Action button next to a group
- Click on Delete to delete the group
- Click on Archive to archive the group
